MC Meeting Minutes Monday May 25, 2009
Meeting opened: 7.30pm

CONFIRMATION OF PREVIOUS MINUTES
That the minutes of the previous meeting be accepted as a true and accurate record.

BUSINESS ARISING FROM PREVIOUS MINUTES
• Phil (Filemaker contractor) needs to research changing over the database to automatically pickup weight and therefore alleviate the potential for repetitive strain injury when staff are working on the counter for extended periods of time. This is a long-term project and the potential for injury will be managed in the meantime by ensuring staff have regular breaks.

MEMBERSHIP

NEW MEMBERS (58 between 18/4 and 17/5)
Proposal: That Alfalfa House accept applicants with membership numbers 5399-5453 excluding 5421 and 5422, as members. Teddy/jo CARRIED

• There was discussion regarding the upturn in membership

RESIGNATIONS
Proposal: That Alfalfa House accept the resignations of members with membership numbers 3581, 4529, 4130. All three dnated their shares.

FORFEITURES
Proposal: That Alfalfa House forfeit the memberships of the following members
1964, 2510, 3043, 3206, 3210, 3255, 3325, 3450, 3452, 3466, 3670, 3705, 3778, 3953, 4027, 4038, 4067, 4225, 4230, 4332, 2658, 2853, 2742, 3986, 2977, 3741.

STAFFING
• Renata Field will be on unpaid leave until the end of January 2010. Advertising to fill her position for 6 months and the Groceries support role has now closed.
• Monika Baumann has requested leave for March 2010.

OCCUPATIONAL HEALTH AND SAFETY (OH+S)
• The office floor has been fixed courtesy of a volunteer.
• Blackboards will be installed by end of June.
• A volunteer cut his hand and a report was completed.

REPORTS

FINANCE
• Given the public holidays there was a good result for April. There is some concern about staples being low in May as a result.
Action: Monika and Renata to determine if set budgets are sufficient to ensure that store is stocked.

Proposal: That the Treasurer’s Report be accepted. Jo/Genevieve CARRIED

CO-OP COORDINATOR

• Shelving redesign is in progress and fit out will be undertaken over June long weekend.
• Nija has drafted a change in the Rules and sent it to the Registry of Co-ops for input.
Action: Nija to circulate to MC and staff. Letter regarding Rule change to be sent to members before AGM. Info to be put in eNews in July/August. Nija to follow up with Registry regarding the number of directors.

GROCERIES

STAFF MEETING
• Staff are in favour of a non-SDA negotiated union agreement.
• Staff are in favour of changing the logo but would like to see the new logo draw on the existing one.
• Staff have proposed that half the amount allocated for staff amenities ($5000) in the 2009-10 budget be used for a pay rise instead.
Action: Teddy to look at the budget in June.

CORRESPONDENCE
• There has been a complaint via email.
Action: Nija has responded and circulated the email and her response to staff and MC.

FOOD GRANTS

Proposal: That food grants as per policy be made to Alfalfa House for a Facilitation Workshop and to Friends of the Earth (Sydney) for Co-op workshop.

CURRENT MATTERS

STOCKTAKE
Proposal to do count the Tuesday before deliveries to ensure fewer items on hand. Action: Monika to establish how long the count may take so MC can decide whether to close early. Monika/Renata to hand pick some trusted volunteers to assist.

Proposal: That AH undertake a Stocktake sale to reduce the amount of stock on hand at the end of financial year. That the sale run for three days (June 28, 29, 30) and offer all customers 20% storewide, with the exception of cost price stock, bulk orders and pre-paid orders.
Action: Renata to look at staffing needs and add a Shop Coordinator if necessary. Stevie to promote sale in eNews. Staff to decorate shop and help with promotion.

GRAVITY BINS
Everything is organised for the installation of the bins on the June long weekend.

RHUBARB FOODS
Action: Teddy to draft a response to their request.

FILM SCREENING
July 16, 2009 at The Red Rattler, Marrickville
Action: Promoted through eNews and via word of mouth by staff in the shop.

THE ROOF
The upstairs roof is seriously damaged and causing the upstairs apartment to leak.
Action: Nija to contact real estate.

MURAL
Action: Teddy and Jann to forward Jo contact details of local artists.
